The Opportunity
Shieldpay is seeking a highly organised and proactive Executive Assistant to join our dynamic and fast-growing team. This is a unique opportunity to work closely with the CEO, providing high-level support that enables the team to focus on driving strategic growth and innovation. What You’ll Be Doing
- Act as a trusted gatekeeper and strategic partner to the CEO, expertly managing their calendar, prioritising appointments, coordinating complex travel itineraries, and handling all communications to maximise their effectiveness and time.- Prepare high-quality materials for internal and external meetings, including board decks, briefing documents, agendas, and follow-up action points, ensuring
the CEO is fully briefed and meetings are well-structured and productive.
- Liaise with senior leaders, board members, and external stakeholders on behalf of the CEO with the utmost professionalism and discretion, fostering strong relationships and maintaining Shieldpay’s reputation for excellence.
- Provide general administrative and operational support to the wider Executive team, helping coordinate leadership meetings, tracking key actions, and ensuring smooth communication and collaboration across departments.
- Assist with project management across key initiatives, ensuring deadlines are met by tracking deliverables, coordinating with cross-functional teams, and proactively identifying and mitigating risks or roadblocks.
- Help manage the CEO’s priorities, ensuring daily activities, meetings, and strategic initiatives remain aligned with Shieldpay’s broader business goals, and providing the CEO with critical insights and updates to inform decision-making.
- Support the planning and execution of company-wide events and offsites, managing logistics end-to-end — from venue sourcing and travel coordination to budgeting, scheduling, vendor management, and on-site support — to deliver memorable and impactful events for all employees.
- Manage office facilities, overseeing day-to-day maintenance and repairs, liaising with building management, maintaining inventory of office supplies and equipment, and ensuring the workplace environment is welcoming, efficient, and compliant with health and safety standards.
- Handle sensitive information with the highest degree of confidentiality and integrity, exercising sound judgment and maintaining trust at all times when dealing with executive communications, personnel matters, and commercially sensitive topics.
What We're Looking for in You
- Proven experience as an Executive Assistant or in a senior administrative role, with a strong track record of supporting C-level executives in fast-paced, high-growth environments. You are adept at navigating complex schedules, high expectations, and the dynamic priorities of executive leadership.
- Outstanding organisational and multitasking skills, with a meticulous attention to detail that ensures nothing is missed. You are able to juggle multiple responsibilities simultaneously while maintaining a consistently high standard of work.
- Exceptional communication skills, both written and verbal, with the ability to represent the CEO and the company to internal and external audiences with professionalism and confidence. You bring a high level of emotional intelligence, knowing how to tailor your style to different stakeholders and situations.
- A proactive, self-starting mindset, where you consistently anticipate the needs of the CEO and leadership team, solve problems before they escalate, and stay two steps ahead. You bring solutions, not just problems.
- Experience working in a tech-driven or startup environment is a strong plus, giving you a familiarity with fast decision-making, lean teams, and rapid change where flexibility and adaptability are key.
- High proficiency with modern productivity and collaboration tools, including Microsoft Office (Word, Excel, PowerPoint), Slack, Lucid, Teams, and any other relevant platforms that support efficient, digital-first ways of working.
- A calm, positive, and unflappable attitude, even in high-pressure situations. You are the steady hand who brings composure and reassurance, helping the
executive team focus on what matters most
